HR software isn't used only in the HR office. The foreman counting assigned equipment in the warehouse with his phone and the accountant checking payroll on the 5th of the month use the same portal, without seeing the same things.

Vehicles & fleet

A forgotten vehicle date means a fine

Vehicles are kept in extra depth in the asset module: make, model, plate, vehicle type and registration date; inspection and emissions validity dates; compulsory traffic insurance and comprehensive insurance (kasko) separately; tyre size and date last fitted; service interval (months and km) and mileage.

Upcoming dates trigger an alert 45 days ahead on the dashboard and 15 days ahead by email
Past dates in red, upcoming ones in orange, visible at a glance
Pool vehicles are kept apart from assigned vehicles; a pool vehicle cannot be assigned to a person
Inspection periods are not hard-coded: the validity date on the document is what counts, so the product doesn't change when regulations do

Bulk upload

You don't have to enter 300 vehicles one by one

The company administrator downloads the blank Excel template, fills it in and uploads it. The template has 30 columns; the only required field is the plate number, and the rest can be filled in later.

The upload does not save directly: you first see on screen what will be written, then confirm
"34 ABC 123" and "34abc123" are the same vehicle; duplicate plates are caught both in the file and in the system
Fill in the "Assigned Employee" column and the handover form opens automatically
Faulty rows are skipped, and you are told how many rows were not added and why. Nothing is silently dropped
Workplace and cost-centre names that don't exist in the system are created automatically

Accountant access

Open an account for your accountant, without creating a personnel record.

External user: no payroll is calculated and no personnel file is opened
Ready-made permission sets: accountant, read-only accountant, auditor, payroll specialist
If you prefer, read-only: they cannot change a single record
Set an access end date, so the door closes on its own when the contract ends
The rates, ceilings and exemption amounts used are shown on screen; no guesswork

Common questions

We have hundreds of vehicles. Do we have to enter them one by one?

No. There is bulk vehicle upload with an Excel template: download the blank template, fill it in and upload it. The only required field is the plate number. The upload doesn't save directly: you first see a preview, then confirm, so a single shifted column can't create hundreds of wrong records. Plate spelling is normalised ("34 ABC 123" = "34abc123") and duplicate plates are caught both within the file and in the system. Fill in the "Assigned Employee" column and the handover form opens automatically; pool vehicles are not assigned to a person. After the upload, alerts for inspection, emissions, traffic insurance, kasko and service dates start working on their own.
